Swim Meet 101

Arrival time: 4:30 pm

Warm ups begin: 5 pm for home meets, 5:30 pm for away meets

Meet begins: 6 pm

Check in with your coach when you arrive. Please have your events written on your arm before you arrive at the swim meet. (See below for an example of how to write events on your swimmers arm).

What to Bring

Folding chairs to sit along the pool deck

Extra goggles and towels

Sweatshirt - sometimes swimmers will get cold after the sun goes down

Cooler with snacks for during the meet

There will be concessions available to purchase food at the meet.

Meet Volunteers:

Swim meets can't happen without all of you! Below is a description of Volunteer Roles.

Timers: We need 1 timer per lane to be paired with a timer from the other team. You will be provided a stop watch and will write your times down on the provided sheet for each swimmer in your lane. The runner will pick these up and take to the Clerk to enter during the meet.

Head Timer will have back up watches. If you miss a start or make a mistake, raise your hand and get his/her attention. They will switch out running stopwatch with you.

Runner: Picks up DQ slips from Officials and timing sheets from Timers and delivers them to the Clerk for computer entry.

Rounder: This job is to get the swimmers in your assigned age group together and in lane order for their event. You are only responsible for Wahoos swimmers. You will be given a Heat Sheet so you will know who is swimming each event. Only swimmers on your heat sheet can swim in the event. If there is an open lane or a swimmer chooses not to swim, we can not put another swimmer in their place. Our swimmers will be in one assigned area. At home meets we will have a designated line up area to take the swimmers to.

Lane Parent: These parents are assigned a lane to make sure that the right swimmer is swimming in the right lane for each Event. If a lane is empty for a heat or a swimmer chooses not to swim, we can not put another swimmer in their place.

Clerk of Course: They prepare clipboards and stopwatches for timers. Ensure all awards and rewards are organized and readily available for distribution. Manage volunteer check-in and provide assignments as needed. Assist runners with any questions or needs before, during, and after the race.

Swimmer Card Instruction

Below is the swimmer cards for individual events. The swimmers are listed in alphabetical order. You can print out your swimmers events. Please have their events written on their arm when you arrive at the meet tonight. Also please write their name one their back (at their shoulder) so the volunteers know who they are.
